Start with the submission

Find the message in your workspace. A successful API response confirms receipt, not that a notification reached a mailbox.

Notifications have their own delivery states. See where the message was routed and what happened to each send attempt.

Act on the failure

Read the failure details, check the recipient, and use the message’s retry control when available. Retrying is a new attempt, not a delivery guarantee.

Know what each status actually means.

When someone says, “I sent the form.”

  1. Search for their message in the Inbox and check Spam if it is missing.
  2. Open the message and confirm the selected recipients and routing decision.
  3. Review the notification’s status and attempt history.
  4. If delivery failed, check the cause and use an available retry after addressing it.

The message gives you a starting point for investigation. If the notification was delivered to the mail server, check the recipient’s spam folder and mailbox rules too. Read about receipt and delivery.

Is delivery tracking included in Free?

Yes. The submission inbox and notification delivery status are included in both Free and Pro.

Does delivered mean someone read the message?

No. Delivered to mail server means the receiving server accepted the email. Form Koi does not turn that state into a claim about inbox placement or whether someone read it.

Will a bounced email delete the submission?

No. Submission storage and notification delivery are separate. The message remains subject to your retention settings and deletion actions.

Can I retry a failed notification?

The message page provides retry controls for eligible failures. Inspect the attempt history and address issues such as an incorrect recipient first. A retry may still fail if the cause has not changed.
